Video Conferencing for Insurance Carrier Company

What happens when you have a valuable but outdated video conference room? Wellfleet, an insurance company headquartered in Massachusetts, found itself in that situation.

The Problem

The pandemic jump-started an increased need for in-office, platform-agnostic video conferencing solutions. Wellfleet, a Berkshire Hathaway insurance company, has clients from coast to coast: It’s one of the leading providers of health and accident insurance products to the higher education market, and its workplace division offers voluntary benefit solutions to employer markets across the U.S. 

With employees returning to in-person office work, Wellfleet needed to upgrade its video conferencing technology. The existing setup for some conference rooms was equipped with hardware to support Windows 7 and, more specifically, Skype for Business. Microsoft retired the Skype for Business product in July 2021 and terminated support for Windows 7 in January 2020. Wellfleet needed an updated, agnostic solution to join meetings scheduled on a range of platforms, from Teams to Zoom to WebEx.

With an outdated video conferencing ecosystem, how could Wellfleet upgrade while leveraging their investment in their existing high-end equipment?

The Solution

Wellfleet scheduled consultations with a variety of service providers in their area, including Universal Connectivity, selected for its reputation as a preferred business video conference solutions provider. At an initial on-site meeting, Universal Connectivity discovered that Wellfleet had a sophisticated, premium conference room complete with two 70-inch touch screen TVs, touch-sensitive microphones built into the table and speakers connected through the ceiling. There was no need to reinvent the wheel; two simple solutions would modernize their office.

Universal Connectivity was able to reuse everything in the room but the actual conference hardware. The team installed a Poly G7500, a rack-mounted conference room unit with a TC8 controller. This unit is compatible with any video conferencing platform, including MS Teams, and allows all team members to share wirelessly on their own devices. Plus, it provides ultra-HD 4K. After determining that their camera was also outdated, a Poly EagleEye IV camera was installed. This camera has a full-tilt swivel, is fully controllable with a 360-degree rotation and provides 4x optical zoom for full resolution.

The Result

The system installers at Universal Connectivity partnered with Wellfleet’s system administrator to implement the upgrades. In total, the entire set-up process took four hours, including installation, testing and training with a series of test meetings.

We are incredibly pleased with the upgrade to our conference room. The total cost was half the quote of another vendor because the Universal Connectivity team was willing to reuse the majority of existing equipment in the conference room. This also meant less time rewiring. The upgrade allowed Wellfleet’s employees and clients to communicate more fluidly, helping us continue in our mission of protecting people against risk throughout every stage of life.
